Event descriptions often need to link out to something — a venue’s website, a sponsor’s page, or a flyer/PDF you’ve uploaded. This guide covers both types of links.
1. Linking to an external website
- In the event description editor, highlight the text you want to turn into a link (e.g., “venue website” or “learn more here”)
- Click the link icon in the toolbar that appears above the highlighted text
- Paste or type the full URL, including
https:// - Press Enter or click the arrow/submit icon to apply the link
Tip: Always test the link after adding it by clicking it in the preview — it’s easy to accidentally leave off the
https://or paste the wrong URL.
Opening external links in a new tab
For links that lead away from your chapter site (like a venue or sponsor page), it’s good practice to have them open in a new tab so visitors don’t lose the event page:
- Click the link you just created to select it
- Click the edit (pencil) icon to open link settings
- Toggle on “Open in new tab”
2. Linking to an uploaded file (flyer/PDF)
If you have a flyer, agenda, or sponsorship packet you want to link to, you’ll need to upload it first, then link to its location.
Step 1: Upload the file
- From the event editor, click into the description where you want the link
- Click the + (block inserter) and choose File, or drag and drop the PDF directly into the content area
- Wait for the upload to finish — WordPress will generate a direct link to the file automatically
Note: If you’ve already uploaded the file elsewhere (like the Downloads section), you don’t need to upload it again — see Step 3 below to link to it directly.
Step 2: Turn text into a file link
If you’d rather link a specific word or phrase (like “Download the flyer”) instead of showing the file block:
- Upload the file as a Download item first (see Create Download), or upload it via the Media Library
- Copy the file’s URL — either from the Download item, or from Media Library > select the file > Copy URL
- Highlight your text in the event description and click the link icon
- Paste the file URL and press Enter
Step 3: Linking to a file already in Downloads
If the flyer or PDF already exists as a Download item:
- Go to Downloads and open the item
- Copy its file URL or permalink
- Return to your event, highlight the text you want linked, and paste the URL using the link icon as described above
Tip: Linking to an existing Download item (rather than re-uploading the same PDF) keeps your Media Library cleaner and makes the file easier to update in one place later.
3. Checking your links
Before publishing, click through every link you’ve added:
- External links should open the correct page (in a new tab, if that’s what you intended)
- File links should open or download the correct PDF
- If a flyer gets updated later, remember to re-upload it or update the Download item — links pointing to an old file won’t update automatically
