Event emails are sent to notify your chapter members about an upcoming event, drive registrations, and send reminders. Unlike news emails, event emails typically include a clear call to action (a registration link or RSVP button).
When to Use an Event Email
- Initial event announcement (4–6 weeks out for larger events, 1–2 weeks for monthly meetings)
- Registration reminder (2–3 days before the event)
- Day-of reminder (morning of the event)
- Post-event follow-up (thank you, recap, or survey link)
How to Send an Event Email
- Log in to Real Magnet at realmagnet.com using your chapter’s credentials.
- Navigate to Messages > List.
- Click the + (plus) icon to create a new message.
- Give the message a descriptive name (e.g., “Chicago Chapter — July PDC Announcement”).
- Assign it to the Events category.
- Click Create.
- On the template-selection page, choose an ASSP event template from Your Templates.
- In the Message Editor, include:
- Event name, date, time, and location (or virtual meeting link)
- A brief description of the topic or speaker
- A clear Register Now or RSVP button/link pointing to your chapter event page
- Any cost or PDH credit information
- Set the From Name and From Email to your chapter’s standard values.
- Write a specific Subject Line that includes the event name and date (e.g., “Register: July Chapter Meeting — Workplace Safety in the Heat”).
- Send a test to yourself first (Send > To an individual).
- When ready, click Send > To a group and select your chapter’s member group.
- Choose Send Now or schedule it.

Tip: Don’t send more than one email per day to your list. If you have multiple events in the same month, combine announcements into a single email when possible.
Linking to Your Chapter Event Page
Your event registration link should point to the event listing on your chapter’s ASSP website (e.g., yourchapter.assp.org/events). Members who register through the chapter site will be tracked in Event Espresso and can be contacted for only the specific events they have RSVPed to in order to stay compliant.
